Hvordan fungerer Bluewhale?
You need your recipient’s email address, and then you choose how the recipient should open your message:

with an SMS PIN code

with MitID
-
with a password

or directly to a secure mail / tunnel mail address – Bluewhale automatically detects whether the address you are sending to is a secure mail / tunnel mail address.
You can send from our web app or directly from Outlook.
Once you have sent the message, the recipient will receive an email with a link, and you will receive a sending receipt.
To open the message, the recipient clicks the link “Open PIN-protected message” and then selects “Receive PIN code by SMS”.
The recipient enters the PIN code and can then view your message.
Once the message has been opened, you will receive a download receipt.
Alternatively, if you sent the message using MitID, the recipient must log in with their MitID to view the message.
You can send to all email addresses and email systems worldwide.
es, your own email address appears as the sender, so you can continue using your current email address when creating a user account with Bluewhale.
When the recipient replies to a Bluewhale message, you must actively choose to save the reply locally on your computer.
Bluewhale does not store the message, and it cannot be opened or read by us – only you and your recipient can access it, using the correct key to open the message.

If the answer to these questions is yes:

The recipient should try turning their mobile phone off and on again.
You must first use the “Invitations” button so that your new recipient can create their password. You cannot send anything securely with Bluewhale until the recipient has created a password.
Once the recipient has created their password, you will receive an email notification, and you can then send your secure message.
Your recipient can open the message, as well as future messages, using their password.
Yes, Bluewhale can send securely to public authorities’ secure mail / tunnel mail addresses. Bluewhale automatically detects whether the address you want to send to is a secure mail / tunnel mail address.
This feature requires your Bluewhale setup to be configured with tunnel mail. Contact support@bluewhale.dk/en if you are unsure whether this is the case.
The link is active for 30 days from the date it was sent. This is to comply with applicable legislation regarding sensitive personal data.
You need to contact the sender and ask them to resend the message if your link has expired.
Yes, as a Mac user, you can use our web app to send secure email.
If you use Office 365, you can also install our Outlook add-in.
Security
Data on Bluewhale’s servers is encrypted using AES-256, and your message can only be opened by the intended recipient who has the correct key.
Bluewhale does not have access to view the contents of the messages – only the sender and the recipient do.
The Danish Data Protection Agency recommends using secure encryption for sensitive data. When you use Bluewhale, you get an additional layer of security. We can validate your recipient with two-factor authentication and send messages and attached documents in encrypted form.
This ensures that sensitive information cannot be accessed by anyone other than the intended recipient, either during transmission or in the event of a compromised mail server.
Yes, Bluewhale is certified according to ISAE 3000.
This is your assurance that data is handled responsibly and in compliance with applicable legislation.
New Outlook and Outlook Web

This error occurs because your browser is blocking the login window.
Click the blocking icon at the top and select “Always allow pop-ups and redirects from https://outlook.office.com”.

Then reload the page.
It can happen that the final send command is not executed correctly.
If this happens, you may notice an unsent draft in Outlook. The draft will either be the secured message itself or the sending receipt.
In both cases, simply click Outlook’s regular “Send” button to complete the process. If you are asked whether the message should be sent securely, select “Send anyway” — the message is secure; it just was not sent automatically.

Secure mail / tunnel mail
With Bluewhale, you can easily send to secure mail / tunnel mail addresses in organisations that have implemented this, such as all public authorities.
You can send to secure mail / tunnel mail without installing a certificate in Outlook yourself. Bluewhale automatically detects whether the address you want to send to is a secure mail / tunnel mail address.
This feature requires your Bluewhale setup to be configured with tunnel mail. Contact support@bluewhale.dk/en if you are unsure whether this is the case.
To prevent incoming tunnel mail messages from being caught by spam filters, we replace the sender address with “securemail@bluewhale.dk/en”, which is why you receive many emails from that address.
The original sender is inserted into the email’s Reply-To field.
When you choose “Reply” in your email program, the original sender will automatically be used.
For most users, this works fine, but if you do not want the sender to be replaced, you can create the rule below in your Exchange Online:
Open https://admin.exchange.microsoft.com/ and select Mail flow > Rules
Click “Add a Rule” > “Create a new rule”
Enter the following:
Name: Always allow secure mail from Bluewhale
Choose: Apply this rule if: “The sender” > “IP address is any of these ranges or…”
Enter the following range: 5.9.185.80/28 and click “Add”
Click “Save”
Under “Do the following”, select “Modify the message properties” and next to that “set the spam confidence level (SCL)”
Select “Bypass spam filtering” and click “Save”
Click “Next” and then “Next” again
Finally, click “Finish”
After a short while, you should see the message “Transport rule created successfully”
Click “Done”
Now click the new rule and select “Enable” under “Enable or disable rule”
Write to support@bluewhale.dk/en to let us know the rule has been created, and we will remove the sender replacement.
To increase the likelihood that your emails are recognised as valid, it is a good idea to add Bluewhale as an approved sender in your SPF record.
This is done in your DNS control panel, which is typically where you purchased your domain.
Add the following:
“include:spf1.bluewhale.dk/en”
This must be added before the final “-all”, so your SPF record will look like this:
“v=spf1 … include:spf1.bluewhale.dk/en -all”
